Artist Shows Guide: List Shows and Handle Lineup Invitations

What shows are for

Shows are public listings for confirmed or upcoming performances — date, time, venue, description, entry info, and lineup. Artists can list a show themselves or accept lineup invitations from venues and organizers.

The public list supports All / Today / This weekend / This month filters and a map view. Visitors can open a detail page for full event info.

Before you list a show

  1. Verify your email first. Unverified email accounts cannot submit a show (complete email verification before listing).
  2. Have an approved (verified / 已認證) artist profile. Unverified artists cannot list a show.
  3. Check your free quota: each artist can create up to 5 public shows for free. Need more listings? Contact sales at [email protected].
  4. Prepare the show name, date, start/end time, description, cover image, and venue name plus address.

Step-by-step: list your own show

  1. Browse Shows to see how public listings appear.
  2. Open Create Show.
  3. Enter an external venue name (max 15 characters) and venue address, then confirm the pin on the map.
  4. Select a region, then fill in show name, date, start/end time, and description (max 1,000 characters).
  5. Upload a show image (JPG/PNG/WEBP, up to 10MB; square or A4 portrait). The system optimizes automatically.
  6. Enter entry fee (use 0 if free; currency HKD/USD/CNY). Ticket link, remarks, and note to admin are optional.
  7. Optionally add lineup artists. Each invited artist must accept before the show can proceed to publish; if anyone declines, the whole application is cancelled and you must create a new one.
  8. After submit, status is under review and you cannot edit. Track progress in Dashboard Shows.
  9. After admin approval, the show appears on the public Shows list.

Step-by-step: respond to lineup invites

  1. Open Lineup Invites.
  2. You may also see invites in Notification Center.
  3. Accept or decline. Confirmation emails may include a calendar file (.ics) for “Add to calendar”; accepting or declining still happens on the site.

Status rules: edit, cancel, and delete

Use My shows to track every listing you created.

Status What you can do
Reviewing View the listing. Cancel only while it is still under review. You cannot edit fields after submit.
Published View the public detail page. You cannot edit or delete.
Cancelled Remains in My shows for your records. No View / Delete action in the dashboard.
Completed Remains after the show date. Listed under Past shows (GigxMatch verified) so you can choose Public or Not public for your profile. No manual delete.
Hidden Set by admin only. Removed from Past shows dashboard and public profiles.

Why there is no delete button:

  • Shows are treated as performance records once submitted, not disposable drafts.
  • Completed shows open a past-show visibility setting so each artist or venue can choose whether the listing appears on their own public profile.
  • The system keeps cancelled and completed shows for a retention period (about 30 days after the show date), then may purge eligible listings automatically. Shows still marked Public on a profile stay protected longer.

Past shows (GigxMatch verified)

After a show is completed:

  1. Open Past shows (GigxMatch verified) from the Shows menu, or use the pen icon on your public artist profile.
  2. Choose Public or Not public for your own profile only.
  3. Other artists’ or venues’ choices do not remove the show from your list.
  4. Admin-hidden shows do not appear on this list or on public profiles.

Tips

  • Keep title, date, time, address, and lineup accurate.
  • Use a complete street address so the map can place the show correctly.
  • Cancel promptly while the show is still under review if plans change.
  • Quota is limited (5 free shows) — only submit shows you truly intend to publish. For additional paid listings, email [email protected].
